Who controls your information
Each municipality is the controller of the records, documents and staff accounts inside its MuniEDGE workspace. RuralEDGE Solutions, LLC processes that information only to operate the service under the municipality's instructions.
What we collect
- Account information: name, work email, municipality, department and role.
- Documents your municipality uploads, and the text extracted from them for search.
- Questions asked, answers returned, the sources cited, and feedback you submit.
- Security and operations records: sign-in events, administrative actions, and aggregated performance metrics.
- Public portal usage: anonymous rate-limiting signals only. We do not create resident profiles or require an account to ask a public question.
How information is used
Information is used to answer questions from your approved municipal sources, to secure accounts, to meet records and audit obligations, and to keep the service available. We do not sell information, and we do not use municipal documents or questions to train general-purpose AI models.
Separation between municipalities
Every record is scoped to a single municipality and enforced at the database level. AI retrieval is limited to the sources your account is authorized to see, and the public portal can reach only resources explicitly marked public. Cross-tenant access attempts are denied and recorded.
Retention and deletion
Municipal administrators configure retention for conversations, saved outputs and documents. Audit records are kept for a minimum of seven years to support records law. Deleted items enter a recoverable state before scheduled purge, and legal holds suspend purging entirely. A municipality may request full deletion of its workspace; deletion requires confirmation from a municipal administrator and approval from a platform administrator.
Sub-processors and AI providers
MuniEDGE uses cloud hosting, database, storage and AI model providers under contract. Prompts sent for answer generation carry only the passages needed to answer the question and are not retained by the model provider for training. Optional web research is off by default and, when enabled, findings are labeled and kept visibly separate from municipal sources.
Your choices and requests
Staff should direct access, correction and deletion requests to their municipal administrator, who can act on them directly in the administration area. Residents may contact their municipality, or reach us at privacy@ruraledge.solutions. Report suspected security issues to security@ruraledge.solutions.
